Client, a cashback program facilitating connections between merchants and consumers, required a streamlined system to manage merchant inquiries and merchant onboarding.
The Solution
- Inquiry Capture: When a new merchant inquires through the website or phone, the inquiry is automatically captured in the MMS.
- Automated Notifications: The system sends email notifications to both the merchant confirming receipt of the inquiry and the manager assigning the lead to a salesperson.

Five-Stage Sales Process: The system guides salespeople through a structured five-stage process:
- New: Initial information gathering and editing.
- Contacted: Qualification and disqualification of leads
- Opportunity: Gathering offer details from the merchant.
- Agreed to Participate: Sending a participation form to the merchant for review and adjustment. The form is integrated with Dynamics CRM and automatically pushes submitted details back to the system. Salespeople can review and approve/disapprove the offer, triggering automated email notifications to the merchant with any necessary corrections.
- Pending Contract: Upon approval, the system auto-generates contract documents and sends them to the merchant for DocuSign e-signature. Once signed, the contract is automatically forwarded to client managers for their digital signature.
- Communication Management: Automated emails keep all stakeholders informed throughout the process using customizable templates that pull relevant information from the CRM.
- Performance Monitoring: Dashboards for salespeople and managers provide real-time insights into sales activity and performance. Additionally, reports are available for managers to gain deeper understanding of the sales pipeline.
- System Integrations: The MMS seamlessly integrates with client's website, merchant portal, and DocuSign for a unified experience.
